Create Applicants and Applications from incoming Emails

Most companies use generic Email Mailboxes e.g. „Career@Company.com“, to receive new applications. Configure your Microsoft Dynamics 365 platform, to convert incoming emails automatically into applicants and applications within Dynamics HR Management.

Prerequisite:

  • System Administrator Rights in Dynamics 365
  • Generic Email Mailbox to receive Applications


1. Creating a Queue for the generic Company email address

First, create a Queue. Go to Navigation -> Settings -> Business Management -> Queues

 

Create a new Queue by adding a Name e.g. “Incoming HR Application” and fill in the following fields:

 

Next, you need to configure the mailbox. Go to Navigation -> Settings -> Email-Configuration -> Mailboxes

 

Select the View Active Queue Mailboxes (1) and open the newly created Queue (2).

 

Set the Synchronization Method to Server-side Synchronization or Email Router. Save and Close the record.

 

Now, highlight the queue and click on Approve Email (2). After this process has finished, click on Test & Enable Mailboxes (3).

 

Click the check box in the following window.

 

Afterwards the following three columns should state Success.

 

2. Create a Distribution Workflow

Open your Customizing Solution Navigation -> Settings -> Solution.

 

Click on New (1) and Process (2) to create a new process.

 

Fill in the following fields (1-4) as stated below. Next, click on Add Step (5). Then, choose Check Condition (6).

 

Now, select the following parameter.

 

For the last condition, you need to select the Entity Queue and choose the newly created Queue. Save & Close afterwards.

 

Once the condition is set, you can add a new step. Mark the line below the condition (1) and click on Add Step (2).

 

Select the step Start child Workflow. Select the entity Email and choose the already existing Workflow Create Application from Email - HR-Management [all languages] - xRM1.

 

Finally click on Activate and on Publish All Customizations.
