Click on +NEW to create a new Application process

 

1. Creation and initial validation of an Applicant

Applicant: Lookup to Applicant record. Choose the Applicant who is undergoing the job application process

Received On: Fill in the date on which the Application was received

Vacancy: Lookup to Vacancy to link the application to a previously created Vacancy

Received via: Lookup to Recruiting channel

Fill-in other data fields in the Summary section and Save the page.

 

1.1 Skill Rating

You have now created an Application and have linked it to a Vacancy. If you remember from the previous steps, we captured “Required Skills” in Job Profile that Vacancy can be based on. In the Applicant file, we listed all the Skills the new Applicant possesses.

In the following steps, you will learn how to do skill rating in the Application process.

Click on the ellipsis, which is three dots to load more options found on the ribbon menu.

 

Check for the message in yellow to confirm that the Skills are now available in the form. If you do not see this message, retry the earlier step one more time.

 

Refresh the Skill Rating grid to load the skills

 

1.2 Adding additional Skills Rating grid

You will notice that the required Skills along with minimum required Grade lists in the grid after refresh. If you wish to map more Skills in this grid, click +Add option.

 

Listing of new Skills from the grid also allows you to rate the Applicant by filling the Skill* and Grades fields. Click on Save & Close to close the popped-up window and to return to the grid.

 

1.3 Editing Skills Rating grid

You can update the Actual Skill Grades of the Applicant by using the Edit option.

 

Click on the magnifier icon to update the Actual Grade of the Applicant against each skill. The lookup field lists only 10 results. If you do find the desired Skill Grade in the list, click on Lookup more records hyperlink to access the full list.


Tip:

You can update this table at the first step of Application process and actualize it during telephonic and Face-to-Face interview stages.


 

Click on Save after updating the Actual Grades

 

1.4 Charts and Skill Rating scores

Now with simple refreshes, you can check Applicant Score and load a Skill Gap chart!

 

2. Interview Stages

A standard business flow helps you to take the Application through meaningful stages. Click on Next Stage to move the application from one stage to another.

 

2.1 Capturing Aptitude

Aptitude: Update the Aptitude based on the Skill Rating and your initial conversations with the Applicant. Confirm the other fields with a simple Yes/No

 

2.2 Line Manager Feedback

You can involve the Line Managers to review the Application at this stage for feedback. As soon as the Manager field is filled with an Employee record, an email notification with the link to the process can be triggered.

The Line Manager reviews the Application and records his comment.

 

With the aid of comments from Line Manager, you can further enrich data to Application during a round of Telephonic Interview stage.

 

2.3 Telephonic Interview

In this stage, you can update important information on the possible Start Date and Salary Expectations of the candidate.

 

 

2.4 Face-To-Face Interview

At this stage, you can capture any additional remarks in the comment box. Also, remember to correct the skills or any other rating that you have done in the past.

 

 

2.5 Contract Negotiations

In the final stage of Application process, you can record the completion of related tasks and completion of negotiations.

 

Employment Contract: You can also create an Employment Contract from this step that you can link it to the Applicant.

 

2.6 Hiring and conversion of Applicant file to Employee file

As a final step to end the Application process, you can use the existing option-set in the field Final Decision to set the Applicant file to an appropriate status

Hired: Easily convert the Applicant file into an Employee file and end the job application process

Rejected by Company: Set it to Inactive Application

Declined by Applicant: Set it to Inactive Application

Application Pool: Set it to Inactive Application

 

Set the Final Decision to Hired and save the page once. You will notice that the page locks and moves to an inactive state. Refresh the browser (F5) to load the new field in the form. A workflow creates a new Employee file and copies all the personal information from the Applicant file.
